In Crisis There is Opportunity

Hi:

I hope you are going to have a spook-tacular Halloween tomorrow. I am going to be walking around our neighbourhood with my son and his cousin, and my daughter whose school friends will be tagging along (as the good and bad witch).

I have been sending you a few eNewsletters on the value of strategic planning for your school and an overview of our planning services. I enjoy the experience of helping schools to develop their plan. It provides me insight in new ways of providing education to children and also helps schools to become better – at the top and in the classrooms where it counts.

I am a glass half-full type of leader. I believe that good things come to organizations that are prepared and optimistic. Good luck happens to those who work hard and have a plan. Does your school?

In addition, many people are panicking and think that the bottom will fall out of their enrolment. Please do not get me wrong, I recognize that world events have changed parents view point on what they spend their hard earned money on. However, even the worst case scenario would have 90 percent of society employed with money to spend, though they are going to be more conservative with they will spend their money on. And yes, schools will have to work harder to find and keep their students, but if you are a good school with an efficient marketing system, you should not be worried. But you need a plan!

Most area private schools seem to be doing well despite a national economic downtown. On Monday, ARCH Academy, a small alternative school, announced it would close after several families withdrew, citing financial concerns. Officials at several other private schools, however, said their enrolment held fairly steady this fall — although some said they were watching to see how next year would pan out. At Stuart Hall, one of Staunton's largest and most expensive private schools, enrolment actually increased by 12 students this year, said Sally Day, communications director. More than 300 students attend Stuart Hall, which offers grades kindergarten through 12 at its two campuses.

The harsh economic conditions have caused many families to re-evaluate their budget, but amid the financial times some private schools have grown considerably. A third grade class at Covenant Academy sings as the day comes to a close. The class size has grown in past years aside from the economy putting a serious strain on many of the parents. Acting school Headmaster Todd Whetsel said, "The economy has affected most if not all families in Middle Georgia. It certainly is a factor in any private school or Christian school decision." The economy has hurt several private schools in Bibb County. Progressive Christian Academy is down 220 students while Tattnall Square Academy has lost close to 120 students. On the other hand, larger private schools like FPD have grown its student population. Covenant Academy is no exception to growth. The student body has grown considerably in the past five years from just 99 students in 2003 to more than 480 to date.

Of course I could find other stories that profess a downturn in enrolment to match the economy, but is that what you want to hear? I believe that if you have an organized system to market and enrol your current and new students, and you have a sound educational program with caring staff, you will thrive. But your school needs to know what the issues are that your school is facing and a proactive plan to overcome it, firing on all your cylinders as a team. Posting for the Founding CEO of a New Career Trade School

Hi,

For you Canadians out there, I hope you had a wonderful weekend celebrating Thanksgiving with your family. Yes, I know Canada has a different date for Thanksgiving than the US, and I have no explanation why, but it is what it is. Here in Vancouver we celebrated our Thanksgiving dinner with a West Coast twist – we had a salmon BBQ at our cabin (rather than turkey). To add a bit more of Canadiana to the mix, I had to do some last minute garden work in our back yard. You see our back yard borders on to a slough that feeds into the Fraser River. I realized to my shock that a beaver had decided that he (or she?) was going to chew through our majestic willow tree. To put an end to this nuisance I wrapped chicken wire around the tree. After 2 days there has been no sign of any more late night tree chewing, but I will keep you posted.

Stay Connected With Your Community

Hello:


I would like to thank all of you for your kind regards on my 50th birthday yesterday. I am not big on these types of milestones, but I had a great family dinner and celebratory birthday cake, along with some very rude birthday cards from my friends and relatives. I must apologize for the length of time between eNewsletters. My firm has been swamped with new school formation projects and school management services around the globe, and I have not put enough time into staying connected with my Inner Circle Members. 3. Staying Connected With Your Community

=========================================


What better theme to discuss today than my own slacking off of communicating with my own community, you, members of HEG’s Inner Circle. I can come up with a bunch of excuses of why I have not sent out an eNewsletter (hey it is my birthday after all!! and my firm’s been swamped by clients wanting to start schools around the globe), but there is no excuse. Research indicates that for people to know, like, and trust you, they must be in contact with you at least 5 to 7 times. This means that if you want parents to enroll their son or daughter at your school, you must reach out to them more than a half a dozen times.


How can you do this? Here are a few quick suggestions:


1). Set up an opt-in box on your web site to encourage parents to give you their name and email address. Once you have this, you then start to send out a weekly eNewsletter sharing with them what wonderful things you are doing at your school. Remember, once you set this up, sending emails is almost free. Furthermore, parents will forward this email to other parents (which is free and great). This is almost like word-of-mouth marketing, which is the most powerful marketing you can have – testimonials.


2). Set up an RSS feed on your web site so that every time you update it, your clients will know this too.


3). Set up a multi-step email system on your web site for parents who opt-in (have a free downloadable report that can go out in a 7 step process). This allows you to build up the relationship over time.


4). After parents visit your school or make an inquiry, set up a multi-step post card mail-out system with a third party vendor that will go out automatically in a 3-5 part mailing.

What ever you do, make sure it is systemized so that you are using your time wisely and you are reaching out to as many prospective parents and students as possible, building up that relationship of trust.

Turn The Radio UP

Hi Inner Circle Member:

In Canada we are getting ready for the last long weekend of the summer – Labour Day on Monday. To send it off my sisters are I are holding a Family Shin Dig at our cottage where about 50 of our relatives and family will get together and catch up on old times at our cottage in the states. We felt it important to stay connected with our families and friends, and now we are hoping that Saturday will be sunny. We have set a record for the wettest August!!

Speaking of staying connected, are you taking advantage of last minute indecisiveness or disatistfaction with local parents to make and exceed your enrollment projections? In the last eNewsletter I covered several last minute strategies that could pull in more students.

3. Turn The Radio Up
=========================================

The key to any sales strategy (yes, marketing for enrollment is sales after all) is to create a drive to action. And when you are about to open your school or just opened the school, you want to lean on parent’s emotions and disappointment in the school system they have just returned to. You want to reach out to them with an educational solution to their child’s school problem.

However, what is the message. In our consulting practice, we often spend several days with clients, mapping out features and benefits as compared to their competitors. We explore who their best customers are and why, examine what drives buying decisions (tuition) for those customers (parents), and help craft messages that highlight areas in which our clients excel, all the time building emotional impact. Each of the top-level differentiators we propose must meet the following five tests:
  • Is it important to the customer?
  • Is it unique to this company, product, or service?
  • Is this a sustainable competitive advantage?
  • Is it memorable?
  • Is this advantage easy to prove?
Effective communication is really very simple. It’s simply a matter of the right person, communicating the right message, to the right audience, at the right time, and in the right way. Using direct copy method for radio, you need to create an auditory version of a sales letter using the following formula:
  1. Pain
  2. Agitate
  3. Solution
  4. Call to action
With the call to action you need to tell them to do something explicitly, not just hope they call your school or drive by. You need to create an incentive to enrol. You could use the tactic of scarcity…there are 3 seats left in Grade 2.

In terms of tactics for radio advertising, here are a few tips:
  • Run your ads 4 days on and 2 days off
  • Use a frequency of 5 to 7 times during the day. Remember, you need to touch your clients 3 or 4 times to create brand awareness
  • Put in a tracking number in the ad (e.g., phone number) to track response to the ad (you want to measure your ROI)
  • Your ads should be 60 seconds long and should be at the beginning of the ad sequence
  • You should use a parent or student to talk about the school, using a testimonial approach

You Need 5 More Students To Break Even!!

Hi Inner Circle Member:

I imagine you’ve taken some time to watch the Olympics going on in Beijing. I was completely blown away by the opening ceremonies. I’ve never seen anything like it. I hope your country is performing better at the medal podium than mine, Canada. Right now we’ve collected zero medals, though there is hope this weekend for our rowing team.

I’m looking forward to my city, Vancouver, hosting the winter Olympics in 2010. Like Beijing our politicians are spending money on new facilities and infrastructure, but not at the scale that China has invested. However, it’s nice to have a modern RAV line connecting the airport to the downtown and an improved highway to Whistler and Blackcomb (for those of you who’ve driven it, you know it can be a two-lane adventure).

Speaking of investing money in your infrastructure, I imagine your school is coming down to the final moments of meeting your projected enrollment and budget.

Today I’m going to talk about some last minute marketing strategies that you can use at your new or existing school to bring in last minute students to meet and exceed your projected enrollment numbers and make the budget.

3. You Need 5 More Students To Break Even!!

For many of you, your school year begins in less than 3 weeks and for some of in 1 week. As a former Private School Leader, I’ve faced the same challenges you face today; you need 5 or 10 more students to make your enrollment projections and cover your 2008-09 budget. Over the years I’ve gleaned a number of last minute strategies that have helped sign up a few last minute students. Most of these strategies can also be implemented during your spring marketing and enrollment season, but they can also bring in the last minute students. You have to run these for at least 3-4 consecutive runs to be effective. Too many times schools send out their promotion once and think that this will motivate parents to enroll their child. NO. You need to get their attention with at least 3 to 5 contacts in a short time frame with the same tools. And for goodness sakes, push your school’s benefits, not your features!!

  1. Send out full colour desk-topped 1-page brochures as an insert in your local newspapers. These free weekly newspapers are effective because you can pick the regions in your community that they are delivered to and the market you want to reach.
  2. Send out the same brochure as a mail insert to specific regions in your community that you think are aligned with your school’s benefits and program features.
  3. Run radio ads with a parent and/or student talking about your school in an advertorial testimonial format. This gets them every time.
  4. Run scholarships for students in your community that match a specific program you want to grow. If you’ve empty desks, this won’t impact your budget and you’ll get a huge surge of interested parents that you can add to your marketing funnel. Yes, this will cost you since you’re forfeiting tuition, but since you have an empty desk anyways, now you’ve buckets of leads that you can draw upon.   5. Create a direct mail campaign to your data base of parents who indicated interest in enrolling their child at your school. Invite them to a last minute open house at your school for them to come by one more time to “kick the tires” and rethink their options.
  6. Have a few of your very happy parents host a “Tea Party” at their house and invite in some of their friends to hear your Director of Admissions talk about your school’s programs and the many unique benefits of your school’s educational program.
  7. Of course there are the tried and true newspaper ads, but I’ve never been a huge fan of them since their shelf-life is so short. They other 6 strategies have a far greater impact and create more buzz.
