What Committees Do You Need In A New School?


Aloha Inner Circle Member:

I just returned from a working trip to Maui developing a feasibility study for a great group of committed visionaries who want to start their own senior school. I had the chance to tour the island and meet with a number of their community partners, and was able to sneak views of the surf and whales drifting by. Even though it rained every day, I snuck out at sunrise for a reflective walk on the beach, letting the surf come in and wash over my feet. I envy the lifestyle they have over there.

I am back home now in rainy Vancouver. I was invited a Super Bowl party on Sunday; everybody even had their own recliner chairs. I was rooting for New England to win so that I could watch them have a perfect season. Even though the Giants won, it was a pretty exciting game to watch.

Speaking of starting a new school, I’ am going to talk a little more in today’s eNewsletter about what committees you need to set up when you are starting your own school.

3. What Committees Do You Need In A New School?

==================================

Much of the work when you are starting your own private school should be done by coordinated, efficient committees. Too many times a few individuals try to do everything and they either burn out or they miss the opportunity to build momentum by including others in their vision. Though every new school formation is different, here is a list of committees your team should develop

1). Steering Committee:

It is a natural flow to start with either the Steering Committee or the Feasibility Committee. For many groups, they are the same committee. It should be composed of around 6 to 10 passionate, dedicated stakeholders.

  • Choose your Chair, Treasurer, and Secretary
  • You should function as a school board would, which they natural transition into
  • Determine your school’s direction and purpose
  • Write your own constitution and/or bylaws
  • Ensure that appropriate documents are applied for (e.g., incorporation, tax exemption)
  • Form other committees as needed with terms of reference for each
  • Communicate with your stakeholders
  • Oversees fundraising
  • Hire Head of School

2). Feasibility Committee:

Many founding groups start with a Feasibility Committee while others start with a Steering Committee. You should keep this committee small, but representative of your potential stakeholder group. Whatever name you give or purpose you give to the start-up committee these tasks have to be accomplished:

  • Investigate community support by performing a feasibility study to start your specific type of school and present the information to your stakeholders
  • Set up a town hall meetings for interested members of your community to share your purpose and direction

3). Governing Committee:

At some point your Steering or Feasibility Committee will transition into your school board. This normally happens when either your stakeholders vote on your bylaws or constitution or your church gives you final approval to open. When your school board is formed, it becomes the governing body of the school. However, with a new school, it will continue to act as the Steering Committee, overseeing all the minute details of starting a school. And there are many, including:

  • Conceptual Development of the School’s Niche
  • Establish School 501 (C) 3, Regulatory Standards, Licensing, and/or Charter;
  • Build Credibility in Community;
  • Establish Board and Train Governance and Leadership;
  • Develop Long Range and Strategic Planning;
  • Develop Facility Plans, Space Needs, Re-Location, and Design;
  • Design Curriculum and related Educational Programming;
  • Human Resources; Identify Personnel Needs, Executive Search, Staff Recruiting, Job Descriptions, and Contracts;
  • Ongoing Evaluation and Support for the CEO;
  • Establish Faculty Appraisal System and Professional Development;
  • Determine Combinations for Starting Grades and Phase-In Stages;
  • Establish Fund Raising and Development Plans;
  • Create Strategic Financial Plan for Startup and Operational Stage;
  • Develop Marketing Plan to drive Enrollment, Communication and Public Relations, Competitive Positioning, and Admissions Process;
  • Devise School Schedule and Timetable;
  • Establish Student Behaviour Management System, Record Storage, Accounting, and Reporting Systems;
  • Source and Supervise Procurement for Equipment and Resources;
  • Prepare Policy Manuals for Staff, Students, and Parents.

4). STANDING COMMITTEES

Other committees need not be developed with only board members, though you should have at least 1 board representative for each committee. Other standing committees may include:

  • Education Committee
  • Facilities and Grounds Committee
  • Finance Committee
  • Fund Raising Committee
  • Marketing and Admissions Committee
  • Policy Committee

FINAL IDEAS

Once the school is up and running, the board will need to transition out of day-to-day involvement, and hand the reins over the Head of School. It is important to avoid micro-managing. Try to hire your Head as early as possible. Continue to promote your school as much as possible and have an efficient system of communications with your prospective parents. Your board should visit as many other schools as possible to glean ideas.
